How to Give a New Project Breadcrumb Access in Procore
Use this when a customer says “Breadcrumb can’t see our new Procore project” or when a newly-created Procore project isn’t syncing into Breadcrumb yet. The fix is usually to make sure the Breadcrumb DMSA user is included in the project and (if needed) added to the customer’s “Current Projects” list.
What this means
- Breadcrumb’s Procore integration uses a dedicated Procore user (the Breadcrumb DMSA user) to access/sync project data.
- A new Procore project won’t sync into Breadcrumb unless the DMSA user has access to that project (or the project is added to the DMSA user’s allowed/current projects list, depending on setup).
When you’ll use this
- A customer created a new project in Procore and it’s not showing in Breadcrumb.
- Breadcrumb is connected to Procore, but only some projects are syncing.
Step-by-step
Common issues
Project still not syncing after adding it
What to check
-
Confirm the project has the required Procore project details completed (commonly: future completion date, valid address, unique job number).
What to do
-
Update the missing fields in Procore, then re-check that the project is included for the Breadcrumb DMSA user and allow time for sync.
Can’t find the Breadcrumb DMSA user
What to check
-
Confirm the Procore integration was fully authorized and set up for that company, and that the integration user exists in Procore.
What to do
-
Have a Procore Admin confirm the integration user and permissions, then repeat the steps above once located.
Why this matters
-
Breadcrumb can only sync projects it has been granted access to in Procore.
-
Adding the project ensures Breadcrumb can pull the project directory and keep the jobsite up to date.

If you’re stuck, contact your foreman or GC site team (or whoever administers Procore for your company) to confirm the Breadcrumb integration user has been added to the project and has the right access.
