How Does the Documents Integration Work

The Documents integration automatically syncs approved documents from Breadcrumb to your Procore project's Documents tool. This allows Breadcrumb to manage document collection and approvals while keeping Procore as the central source for your project documentation.

 

What this means

  • Documents are collected and reviewed in Breadcrumb, then synced into Procore once approved.
  • In Procore, the files land in a Breadcrumb-created folder structure so teams can find them quickly.

When you’ll use this

  • When you want subcontractor safety documents to end up in Procore without someone manually downloading and re-uploading files.
  • When site teams need Procore to reflect the latest approved versions of key safety documentation.

Requirements

To access the Integration settings, you must be a Company Host with Has All Permissions enabled.

If you don't have the required permissions, please contact your Breadcrumb CSM for access.

 

Key Considerations

  1. Enable Documents sync in your Procore integration settings (this is typically done by an admin during setup).
  2. Documents (orientations, permits, forms, SSSP, etc.) sync into Procore’s Documents tool automatically.
  3. In Procore, navigate to the project Documents tool and look for the Breadcrumb folder and the subcontractor-specific subfolders.

 

View and Configure Your Documents Integration Settings in your Breadcrumb Environment

Step 1: Open the Integration Settings (Breadcrumb CSM to Configure)

  1. In the Breadcrumb Web Portal, click your name in the top-right corner.

  2. Select Integrations from the drop-down menu.

  3. Open the Procore Integration tab.

  4. Scroll to Export Documents.

Step 2: Review the Integration Settings

Export Folder Template

Choose how Breadcrumb organises folders in Procore.

  • Grouped by Supplier – Documents are organised by Supplier first, then by document type (such as Inductions, Supplier Documents, and Permits).
  • Grouped by Feature – Documents are organised by document type first, then by Supplier.

Create New Procore Folder As

Choose who can access the folders created by Breadcrumb in Procore.

  • Public – Any Procore user with access to the project's Documents tool can view the folders.
  • Private – Only users with permission to access Private Documents in Procore can view the folders.

Tip: If external users, such as subcontractors, have access to your Procore Documents tool, we recommend using Private folders to help protect sensitive information.

 

Step 3: Choose Which Documents to Export

Enable or disable the document types you want Breadcrumb to sync to Procore.

  • Export User Orientations – Syncs all user orientation records.
  • Export Supplier Documents – Syncs supplier documents, such as SPPPs, Safety Data Sheets, and other files.
  • Export Generic Forms – Syncs all generic forms.
  • Export Permits – Syncs all permit records.
  • Export Evacuations – Syncs all evacuation records.

 

Common Issues

Document not appearing in Procore yet

What to check

  • Document sync runs on a schedule and timing can vary based on volume. Larger uploads may take longer.

What to do

  • Allow additional time and check again later. If it still hasn’t appeared, confirm Documents sync is enabled and that the project is correctly linked.

Wrong folder location or unexpected structure

What to check

  • By default, Breadcrumb files documents into a Breadcrumb parent folder with subcontractor-specific folders underneath.

What to do

  • Confirm your team is comfortable with the default structure during implementation. If a specific structure is required, raise it during setup.

Updated document not reflected in Procore

What to check

  • In many cases, when a document is updated in Breadcrumb (for example, a new version or an updated/fully signed copy), the Procore version is updated by overwriting the existing file.

What to do

  • Confirm the document was re-approved in Breadcrumb (if required by your workflow), then allow time for the sync to run.

Grouped or combined PDFs incomplete (only first document shows)

What to check

  • If multiple documents are combined into a single PDF for syncing, older configurations may have caused partial uploads.

What to do

  • If you see this, capture an example (project, supplier, document type, and what’s missing) and escalate to the support team to confirm your environment includes the latest fix.

  • Eliminates manual filing work and reduces the risk of missing documents in Procore.
  • Helps ensure Procore always has the latest approved safety documentation for audits and day-to-day access.

Contact your Breadcrumb CSM to confirm your Procore integration settings and where documents should be filed. If documents still aren’t syncing, share the project name, subcontractor name, document type, and approval date/time with your support team so they can investigate.
