Can I Create a Supplier in Breadcrumb and Link it to a Procore Company Later

If you're using the two-way Supplier Directory Sync (Procore Integration v2.3), supplier information can sync between Breadcrumb and Procore. If you're using the standard one-way integration, supplier information only syncs from Procore to Breadcrumb, which affects how supplier updates are managed.

 

What this means 

  • One-way setup (most common historically): Procore is the source of truth for companies. Breadcrumb can’t reliably “link” a manually-created Breadcrumb supplier to a Procore company later unless the integration can match them.

  • v2.3 setup (Supplier Directory Sync enabled): Creating a supplier in Breadcrumb can create the matching Procore company for you, so there’s nothing to “link later.”

When you’ll use this

  • When the GC wants to start supplier onboarding or document collection in Breadcrumb before their Procore directory is ready.

  • When a supplier needs to exist in Breadcrumb immediately for site workflows, but the Procore setup will be completed later.

Requirements 

Before you begin, ensure the following requirements are met:

  • Permissions: You must be a Company Host or a Site Host with Manage Site permission.
  • Procore setup: Companies must meet the required Procore configuration before they can sync with Breadcrumb. For more information, see Sync Subcontractors to Breadcrumb.

If you don't have the required permissions, please contact your Breadcrumb CSM.

 

Key Considerations

  1. Check which supplier sync model the customer is on

  • If they are on Procore integration v2.3 AND “Supplier Sync” is enabled, you can create in Breadcrumb first and it will create the Procore company.

  • If not, assume one-way Procore → Breadcrumb.

  1. If the customer is on v2.3 Supplier Directory Sync (recommended for “Breadcrumb first”)

  2. Create the supplier in Breadcrumb.

  3. Confirm Supplier Sync is enabled in the Procore integration settings.

  4. Ensure the Procore permissions were granted during install/upgrade (Procore requires directory-level admin permissions for creating companies).

  5. The supplier should appear in Procore automatically as a company record.

  6. If the customer is on one-way sync (Procore → Breadcrumb)

  7. You can create the supplier in Breadcrumb for immediate use.

  8. Later, create (or clean up) the supplier in Procore.

  9. Make sure the required identifier field in Procore is set (commonly  License Number for US customers) and that it is unique and correct.

  10. Add the company to the Procore Project Directory for the project (so it can appear as a project-level supplier).

  11. Wait for the directory sync (or run a force refresh if that’s part of your support process).

 

Sync a Supplier from Breadcrumb to Procore

Step 1: Create the Supplier in Breadcrumb

When creating the company, ensure you include:

  • A License or EIN Number

Once both systems contain the same EIN or License Number, the next integration sync will match the existing records instead of creating duplicate companies.

 

Common Issues

It didn’t “link” and now there are duplicates

What to check

  • This usually happens when the Procore identifier (EIN / License Number) was missing, different, or duplicated, so the integration can’t confidently match the records.

What to do

  • Standardize the identifier, pick the correct record to keep, clean up duplicates, then resync.

Supplier exists in Procore but not in the Breadcrumb site supplier list

What to check

  • Company might be in the Procore Company Directory but not added to the Procore Project Directory.

What to do

  • Add it to the project directory, then allow time for sync.

 

Why this matters

  • Keeps onboarding moving even if the Procore directory setup lags behind.

  • Prevents duplicate suppliers and document filing issues by aligning around a single identifier and a consistent source of truth.
